Deadlines for Fiscal year 2005

Attention Mail Account Personnel:

The end of the Fiscal year 2005 is approaching rapidly. The last day for postage to be applied on the Fiscal year 2005 is Wednesday, June 8, 2005.

Just a reminder that anyone wanting to purchase stamps from the Contract Post Office with IDV's & Interfund Vouchers for Fiscal year 2005 is Tuesday June 21, 2005. The Contract Post Office hours are Monday through Friday 8:30 -3:30.

PERSONAL MAIL

Each year Central Mail Services receives an average of 500 pieces of personal mail for individuals all over campus.  Examples of personal mail are:  credit card statements, personal letters and cards, magazines (Playboy), and catalogs (LTD, L L Bean).  KSU Policy and Procedure chapter 7825.010 clearly states "CAMPUS MAIL DELIVERY IS FOR BUSINESS MAIL ONLY."

This time of year is exceptional bad since students are leaving either for just a little while or for 6 months and longer. Departments should keep in mind the above restrictions. When students ask to send their mail to the department even for a short time, tell them to put in a temporary address to a friend or a post office box. Post Office boxes can be rented at the federal post office or at the UPS store located in West Loop.  Questions can be addressed by calling Connie @2-7751.

Addressing Campus Mail

 

Central Mail Services sorts and delivers campus mail to the Department name. We are having some problems when people are giving that address to mailers. We realize that your title is important but when it overlaps with a department of the same name that mail is being directed to the wrong place. What we would ask of you it to not put your title as part of your address. For campus mail we would like your address to be simply your Name, Department and the Building that it is located in. By having conflicting department information in the mailing address it slows down your mail at least one route time.

Dorm Student Mail

Now that summer is here, the university mail flow changes. As a whole we need to remember to mail the student information that usually goes to the dorms to their permanent mailing address. The office of Housing & Dining Services will be forwarding the mail to the students that left summer forwarding addresses. For the students that didn’t leave forwarding addresses their mail will be returned to the sender. You may direct questions to Connie Moseler at 2-7751.

Campus Mail Large and Small Envelopes

Central Mail Services gets requests every day for empty campus mail envelopes. If you help us to recycle these envelopes we can fill these requests. All you have to do is rubber band the empty envelopes that you would like to send to Central Mail Service and put a note on the bundle and place them on top of your campus mail box and the carrier will pick them up for you. Also, if you have extra mail tubs or trays that you are not going to need you may place those at the mailbox to be picked up. If you have questions please contact Connie at 2-7751.

CONTRACT POST OFFICE AND CMS

 

How many of you have actually seen the Contract Post Office and Central Mail Services office? Do you know the difference between the two? Here’s a little information for those of you who don’t. The Contract Post Office is located at the west end of Dykstra Hall. It is an actual satellite post office contracted to Kansas State University by the federal post office at 5th and Leavenworth. Its sole responsibility is to service KSU and the surrounding community (approximately 25,000) with the many postal services that you would receive at any post office such as money orders, stamps, registered, certified, return receipts, certificate of mailing, delivery confirmation, etc. The Contract Post Office is strictly for personal postal needs.

 

Central Mail Services is located north of Dykstra Hall, nestled between Dykstra, Umberger, and Dole Hall. The entrance to our facility has changed. Customers should come through the Umberger parking lot (B13), proceed up the hill to the first white metal building, and enter through the east door. The office hours are Monday through Friday 8:00 am to 12:00 pm and 1: pm to 5:pm.

 

Central Mail Services, with a staff of nine full-time personnel and two students, provides all staff and back-up support for the Contract Post Office in Dykstra Hall. We also provide the following postal services to departments on campus:

 

                     Delivery of internal campus mail twice daily. The morning route leaves CMS at 10:00 am and the afternoon route leaves at 2:00 pm.

                     Delivery of nixie (improperly addressed) federal mail. Patrons tend to confuse this part of our duties with those of the USPS office at 5th and Leavenworth. USPS delivers all properly addressed federal mail–mail that contains your official university address with building name – to your building unless it is a new building.

                     Topeka Courier Service–all internal mail going to departments within the State of Kansas is taken to Topeka and delivered by State Central Mail Services on a daily basis.

                     Salina Courier Service–all internal mail going to KSUS is dropped off and pick up at CMS and Anderson Hall and delivered to KSUS.

                     Delivery of all accountable mail on a daily basis. Accountable mail, also known as Special Postal Services, includes registered, certified, insured, return receipt, restricted delivery, and return receipt for merchandise.

                     Automation Mail– mail which meets certain criteria is taken to Topeka daily to State CMS and given a discount.

                     “Clean up” internal address list or external outgoing list, free of charge.

                     Apply postage to all domestic mail on a daily basis.

                     Preparation of all international mail for shipping to our consolidator to obtain discount rates.

                     Preparation and delivery of Business Reply and Postage Due mail

                     Charge-back Billing.

 

In addition to these postal services CMS also provides processing all UPS and FedEx packages for shipment daily.

Contract Post Office Corner

The Contract Post Office is open it’s usual hours of 8:30 am to 3:30 pm Monday through Friday during the summer. We do have the Mover’s Guides and Hold Mail forms available if those are needed.

 

New stamps that are available now are the Black Heritage Marian Anderson, Ronald Reagan, Henry Fonda, Lunar New Year, Northeast Deciduous Forest, Spring Flowers, Love Bouquet, American Scientists, Robert Penn Warren, Yip Harburg, Masterworks of Modern Architecture, as well as the standard booklets.

 

With summer being the time of weddings there are a couple of options that people are using to send invitations for their special day. We carry a good number of them but we can order in special for very large amounts. To do that you may contact Nancy at 2-6306.
